The American Civil Liberties Union of Florida is an affiliate of the national ACLU, a national public interest organization devoted to defending the Bill of Rights. For over 100 years, the ACLU has been the nation’s primary protector of the liberties that define our democracy. The organization largely implements its vital civil liberties mission in all 50 states through a federated network of affiliate entities such as the ACLU of Florida.

The ACLU of Florida, the state’s largest civil rights and civil liberties organization, employs litigation, public policy advocacy, and public education to protect and promote a broad range of constitutional values and individual rights, such as freedom of speech, racial justice, right to privacy, religious liberty, criminal justice reform, voting rights, reproductive rights, LGBTQ+ rights, disability rights, and immigrants’ rights. The ACLU of Florida litigates a broad range of complex constitutional cases in federal and state courts through direct representation, filing amicus briefs, and submitting administrative complaints to state and federal agencies.

POSITION OVERVIEW

The American Civil Liberties Union Foundation of Florida (ACLU of Florida) seeks a Senior Accounting Manager to join the Finance and Administration department. The Senior Accounting Manager will report to the Chief Financial Officer (CFO) and work closely with staff toward achieving the organization’s goal of protecting the liberties that define our democracy. This is a full-time hybrid position working from the organization’s Miami office.

The Senior Accounting Manager will work alongside the contracted Finance Team to ensure the timely and accurate processing of payroll, accounts payable, and accounts receivable and maintain all related records.

The ACLU of Florida supports and encourages initiatives based on subject-matter expertise in a collaborative environment. The Senior Accounting Manager must exercise good independent judgement over fiscal responsibilities and work cooperatively under general direction and oversight.

PRIMARY RESPONSIBILITIES

  • Oversee daily, monthly, and yearend operations of the accounting function, including managing the timely processing of accounts payable and receivable (i.e., depositing of donor checks); monthly timekeeping data management and reporting for expense allocation; assist Finance Team with month-end close as needed including bank reconciliations and other month-end items; assist Finance Team and CFO with year-end close
  • Assist the Finance Team in drafting the annual budget and periodic forecasts
  • Develop, produce, and analyze regular and ad hoc reports
  • Oversee grant budgets and manage the tracking of expenses to prepare status reports for funders per guidelines
  • Prepare, review, and track reports as part of the annual revenue sharing, in collaboration with the Development Department, to ensure compliance with organizational policy
  • Track lobbying-related activities, coordinate staff time tracking, and prepare regular IRS reporting
  • Work with the Finance Team to oversee the execution and timely completion of the annual audit, information returns and tax reports, and annual state/county renewals; serve as primary liaison for independent auditors
  • Assist the Finance Team and CFO in the timely and accurate management and maintenance of employee payroll and programs, including: semimonthly and/or bi-weekly payroll processing with the Professional Employer Organization (PEO), Benefits and compensation administration, including payroll changes, Prepare and maintain payroll files and reports, Conduct monthly payroll reconciliations/audits, New hire setup and onboarding, Handling staff payroll and benefits inquiries
  • Assist in the completion of the annual National ACLU Census, Pension Audits, and other audits/reports
  • Oversee staff expense reimbursement and processing while ensuring policy is followed on all expenses and reimbursements
  • Attend monthly campaign meetings as the Finance and Administration Department representative.
  • Serves as a backup to some shared administrative duties and assists with special projects and tasks as needed.

REQUIRED QUALIFICATIONS

  • Bachelor’s degree in accounting, finance, or related field
  • Comprehensive knowledge of accounting principles, practices and US GAAP, with progressive accounting and bookkeeping experience
  • Advanced proficiency with QuickBooks Online.
  • Advanced proficiency with Microsoft Office Suite (particularly Excel) and the ability to learn applicable department/organization specific software
  • Exceptional analytical, reporting, and communication skills
  • Ability to clearly communicate and understand information in English, both orally and in writing
  • Detail-oriented and organized with a strong commitment to follow-through and meeting deadlines
  • Thorough knowledge of and experience with processing payroll including garnishments and benefits deduction
  • Experience with auditing, day-to-day accounting, month-end/year-end close, financial reporting, cashflow forecasting

DESIRED QUALIFICATIONS

While no one person will have all the qualities enumerated below, to stand out from others the successful candidate will bring many of the following qualifications and attributes:

  • Advanced credentials such as Certified Public Account (CPA) or Master of Business Administration (MBA)
  • Experience working in a non-profit, advocacy or political organization
  • Experience in accounting and reporting of lobbying and electoral related expenses as well as use of the 501(h) election
  • Experience in a supervisory role
  • Knowledge of various employee benefit plans (i.e. FSA, HSA, & 401K) and their related effect on federal and state payroll tax
  • Demonstrated commitment to equity and racial justice

  • Oral and/or written ability in Spanish as a second language

COMPENSATION AND BENEFITS

The Senior Accounting Manager is a full-time exempt position under the Fair Labor Standards Act. A combination of education and experience may be considered.
